Job Description

We are seeking a highly skilled Executive Administrative Assistant to support three senior leaders . This role requires an individual with a minimum of 2 years of experience in a similar position, demonstrating a proven ability to interact at a high executive level. The ideal candidate will possess exceptional proficiency in Microsoft Suite, event management, calendar organization, and team building.

Responsibilities:

General Support:

• Perform standard office functions including maintaining files, arranging meetings and conferences, and managing mail.
• Review drafts and finished documents for grammatical accuracy and clarity.
• Prepare expense reports and purchase orders, and maintain office supplies.
• Update organizational charts and coordinate departmental or equipment moves.
• Provide accurate and timely information to support the supervisor’s assignments.

Reception:

• Respond tactfully and promptly to inquiries and problems within the scope of established authority.
• Handle confidential information with discretion.
• Serve as the central contact for general department information.

Logistics:

• Coordinate a full range of meeting, event, and travel arrangements.
• Manage calendars and work with internal/external contacts for venue requirements, room setup, catering, and materials delivery.
• Utilize online reservation system to ensure adherence to travel policies and cost-effective arrangements.
• Coordinate with travel agents, airlines, and other service providers for planning and customer service issues.

Qualifications:

• Minimum of 2 years of direct relevant work experience supporting senior executives.
• Proficiency in Microsoft Suite, calendar organization, event management, and team building.
• Clear, respectful, and effective communication skills (both written and verbal).

Education:

• Degree is less important than years/level of experience.
